Ho do I manage attendees or absences on my tour?

Notes

You have 1 hour to MARK attendance (30 minutes before the event starts and 30 minutes after it begins). This is known as check-in.
Afterwards, you can only MODIFY the number of attendees, which includes reducing it to 0 if the traveler was a "no-show."

⚠️ Any reservation not marked will be considered an ATTENDEE when you close the event (or if 48 hours pass from the start of the tour without any action on your part).

What can I do during check-in time?

  • You can mark all the walkers who attend, as well as modify the number of attendees if not everyone shows up.
  • Contact the walker.
  • Assign this reservation to a specific guide (functionality aimed at agency profiles or groups of independent guides within the same account).

If all the walkers from the reservation have attended, you just need to click the "Check-in" button for the green "check" to appear on all reservations.

I can no longer mark as no-show, the check-in time has ended

If you’re outside the check-in time (30 minutes before or 30 minutes after the tour), you won’t be able to MARK attendees, but you can still modify them to change the number or mark them as no-show. Just select the reservation and modify the number using the "+" and "-" symbols.


What can I do when the check-in time has passed?

  • You can still modify attendees or mark them as no-show by entering the reservation and adjusting the number.
  • The option to rate the walker, both positively and negatively, will be available (Only for PRO profiles).
  • Contact the walker only through the platform.

How do I change the number of attendees?

  • Select the reservation of the walker you want to modify.
  • Click on "+" or "-" to adjust the number of attendees.
  • Click "Save".



Warning

Once the event is closed, you won’t be able to modify the attendees or report the walkers. The button will appear disabled.


When will I get the credits for no-shows? (PRO accounts)

You have 2 options:

  1. Immediately
    Click on "Send attendees and close event" ⚠️ Remember, once you do this, no further modifications can be made (no one from the GuruWalk team can do it for you).

  2. Safe refund (automatic 48 hours after the tour starts)
    There’s no rush to close the event. It's better to take the time you need to review attendance. 48 hours after the tour starts, the event will automatically close and the credits for no-shows will be refunded to your account.
