Free Tour creation and approval process on GuruWalk

To create a tour, you must first be registered as a guide on GuruWalk
If you haven’t done it yet, you can start the registration process through our Official Page

If you're already registered, you can create your first tour from your profile > My tours > Create a new tour





How do you create a tour step by step?

When you start the draft, you’ll need to complete all sections. If anything is missing or the information isn’t clear, it won’t be reviewed.
You can access and edit your tour information anytime from your profile > My tours > Edit.

Basic Data

A brief description of your tour.

Like a movie synopsis. Travelers will read it to decide whether to book your tour or someone else’s.

✅ Do:

  • Keep it short (1 paragraph), clear, and engaging.

❌ Avoid:

  • Giving too many details

  • Repeating info (time, language, points of interest, etc.)


Location

Meeting Point

Give an exact and recognizable location. Ideally, a specific building or landmark.

Examples:

  • In front of the president’s statue

  • At the Starbucks on the corner

  • Next to the fountain

How to recognize you

Describe how travelers can identify you (or your team).

Examples:

  • I’ll be wearing a white cap and a guide badge

  • Look for an orange umbrella

Avoid:

  • Very crowded or generic spots (“on the street”)

  • Places where other free tours gather that could cause confusion


⚠️ Route (Pay special attention to this section)

Add all the stops or points of interest on your tour.
This helps travelers compare options and makes your tour more visible on the website.


Photos

Images are key to attracting bookings. Upload between 5 and 10 high-quality photos.


✅ Good balance:
  • Groups during the tour

  • Monuments, streets, atmosphere

  • Avoid close-ups (those belong on your profile)

❌ Don’t upload:

  • Blurry, dark, or pixelated photos

  • Images with watermarks

  • More than 10 photos (it slows down the review)


Languages and Schedules

Here you define when you’ll be available and in which languages.

Examples:

  • English: Mondays, Wednesdays, and Fridays at 10 AM

  • Spanish: Tuesdays, Thursdays, and Saturdays at 3 PM

  • Every day: English at 10 AM and 4 PM, Spanish at 12:30 PM and 8 PM

You can modify schedules, block dates, or add one-time events later

❌ Avoid:

  • Creating events if you’re not sure you can attend them

  • Deleting schedules with bookings (they won’t cancel automatically)


Availability

Booking cutoff time

Set how many hours before the event a reservation must be made to keep the event active.

Example: 2 hours in advance
If the tour is at 12:00, there must be at least one booking by 10:00. Otherwise, the event will be removed from the calendar.
This rule applies only to the first booking. Later bookings can come in after that.

❌ Avoid: setting very short cutoff times if you live far from the meeting point.


Maximum number of walkers

Indicate the total number of people allowed per event.

  • Hobby: maximum 5 people

  • Pro: you choose the maximum

❌ Avoid: very large groups—they make the experience harder and often lead to bad reviews.


Frequently Asked Questions

Fill in these fields so travelers have all the info:

  • Accessibility: Is it suitable for people with reduced mobility?

  • Pets: Are animals allowed?

  • Extra costs: Are there entrance fees? (also include this in your tour description for clarity)
    Example: “Museum entrance not included (€3 per person)”

  • Electronic payment: Do you accept Bizum, card, PayPal, etc.?


Recommendations during the process

  1. Pay attention to the tips next to each step — they’ll help your draft get approved faster.
  2. Make sure you've completed the itinerary by adding all the points of interest

What happens when I submit my tour for review?

The team will review your proposal and contact you if any information is missing or improvements are needed.

How long does it take?

It depends on the destination and the tour content. It can take from a few days to several weeks.
Make sure it’s 100% complete to speed up the process.
Contacting the team does not speed up tour approvals

What happens when my tour is live?

From that moment, you can start receiving bookings, which will be auto-confirmed (you don’t need to do anything; travelers will expect to find you at the date and time of the event)

​Can my tour be rejected?

It can be rejected for several reasons:

  • The destination is already covered

  • You don’t have the necessary license (if legally required)

  • The listing quality doesn’t meet minimum standards

Can I create another tour if mine is rejected?

It depends on the reason for rejection. Before creating another, contact the team.
You might need authorization if your profile was deactivated.

Most common tour statuses:



Don’t use the “closed” status to block days. Use the calendar tools for that.
If you close a tour with future bookings, you must manage them yourself to avoid penalties

Frequently Asked Questions

If my tour is under review, does that mean it will be approved?

Not necessarily. It depends on the quality of the tour and the destination’s needs (language, theme, schedules, etc.).


Can my tour be rejected after it’s been created?

Yes, for various reasons such as:

  • Destination coverage: There is already enough similar offer to meet current demand.

  • Legal issues: In some destinations, an official license is required to operate. The team reserves the right to reject profiles without a valid license.

  • Poor listing quality: If the tour doesn’t meet any of the recommendations in the different sections, the team reserves the right to deny approval.

Sometimes a tour can be rejected for these reasons while still in draft, but other times it’s only when all steps are completed and the tour is submitted for review that the team can decide the tour definitely doesn’t meet the requirements to go live.


My tour was rejected — can I create another one?

If you already have a rejected tour, we recommend contacting the team to see if there are options to offer an alternative activity.

If a tour has been rejected, your profile might be partially “inactive,” so creating another tour without notifying the team may result in it not being reviewed.

I have more questions about creating a tour
Why can’t I see my tour on GuruWalk yet?

It’s probably due to one of the following reasons:

  • Your tour is still a draft

    • Some steps are incomplete

    • Everything is filled out, but some sections need changes

  • The tour is “under review” but still incomplete

    • You didn’t add the itinerary in the correct place
      (It should go in the “Itinerary” section, next to the other tour settings)

    • You didn’t specify the additional costs of your tour, in case you mentioned any in the FAQs
      Example: Museum entrance not included. Price: €2

  • Our team sent you an email explaining that we had to pause the process, due to one of these reasons:

    • Your destination requires an official tour guide license, and you don’t have one

    • Your destination is saturated with providers, and we can't accept more at the moment
